What we collect
We collect information needed to answer theater callers and texters, run accounts, and bill the service:
- Theater account details: company name, admin email, location, and billing information (processed by Stripe).
- Call and SMS metadata: numbers involved, timestamps, duration, and message content needed to reply about showtimes, hours, prices, and theater policies.
- Voicemail recordings and transcripts when a caller chooses to leave a message.
- Showtimes and theater facts the theater provides (including pasted weekly times) or that we fetch from Ready Theatre Systems when that theater is on Ready Theatre Systems.
How we use it
We use this information to operate CineConcierge for the theater that published the phone number: answer inbound questions, transfer or offer voicemail, send transactional SMS replies the guest asked for, measure minute and SMS usage, and support the account. We do not sell personal information. We do not use inbound movie-line traffic to build marketing lists.
Mobile numbers and SMS (CTIA)
We do not share, sell, or rent mobile phone numbers or text opt-in information to third parties or affiliates for marketing or promotional purposes. Carriers and Twilio process messages to deliver them. Theater staff see what they need to run the theater (for example a voicemail the guest left).
Guests opt in by texting the number shown on the theater's location page, or, if the theater offers it, by saying a clear yes on a call. After a clear yes, the assistant confirms the last 4 digits of the number. If the theater offers it, a caller may be offered: a back-in-stock alert the guest asks for (may include one photo of the item); a note when a title they asked about is booked; a link to apply for a job; a deposit link plus at most one reminder if unpaid. Back-in-stock and booked alerts only go out if it happens within 90 days. We never ask for a card by text. We never send marketing texts. Message frequency: we text when the guest texts in or says yes on a call; up to 5 messages per day. Message and data rates may apply. Re-opt keywords after STOP: START, UNSTOP, or YES.
Reply STOP to opt out. We honor opt-out immediately and will not send further SMS to that number except a single confirmation. Reply HELP for help. You can also email support@newcinemarelations.com.
Calls
Inbound calls to a theater’s CineConcierge number are answered by an automated voice so the theater can take showtimes and FAQ questions. We may transfer to staff or offer voicemail. We do not record live two-way conversations as a default product feature. Voicemail is stored only when the caller chooses to leave a message.
Calls answered by the automated assistant are transcribed and the transcript kept on the same schedule as voicemail transcripts, so the theater can review calls and improve answers. 'Training' means training theater staff and improving our service. Call transcripts are not used to train AI models, ours or our providers'.
Retention and processors
NCR (New Cinema Relations) processes guest data on behalf of the theater that published the number the guest called or texted.
Voicemails (audio and transcript) auto-delete 90 days after they are received. About 30 days before deletion, the theater’s admins get a warning email with the option to download the voicemail or keep it 90 more days. That keep option can be renewed. Call records (metadata such as numbers, timestamps, and duration) are kept 36 months, measured in the theater’s local calendar. Twilio recordings are deleted first, then our copy. We keep account and message records as long as needed to operate and bill the service, then delete or anonymize them on that schedule. Processors include Twilio (voice and SMS), Stripe (payments), including optional event deposits paid to the theater, and the service that drafts spoken answers. Each is used to provide the service, not to market to guests.
Your requests
If you called or texted a theater, ask that theater to see or delete information they hold about you. You can also email [email protected] and we will pass the request to the theater or handle what we process on its behalf. To stop texts, reply STOP on the thread.
Bookings
When a theater turns on private parties, rentals, or HQ-listed events, we collect the adult booker’s name, email, phone, requested time, and notes the theater needs to run the event. The booker must be an adult. We do not collect children’s names, dates of birth, or health notes. The phone assistant never takes a card. If the theater sets a fixed deposit for that event type and has finished Stripe Connect Standard, we email a Stripe Checkout link to the booker. Deposit links are emailed, and if the theater offers it, texted only if the guest says yes on the call. The theater is the seller. New Cinema Relations does not take a platform fee on that deposit. A booking with a deposit is confirmed only after Stripe sends a paid webhook. If Stripe Connect is not connected, or the event type has no deposit, the booking stays request-only until Location Admin confirms. We hold a time for 24 hours (48 if the theater chooses) inside a minimum-notice window. Each event type has its own deposit refund window, set by the theater (default 7 days). Booking records are kept 36 months, then deleted. Event bookings are off in Quebec.
When you say yes on a call to a text, we record the theater, what you asked for, your number, and the time, and keep that record for 36 months.
All booking times are shown in the theater's local time.
If a hold ends without a paid deposit, we'll send the booker one email letting them know.
If the theater cancels a booking, the booker gets a full refund of any deposit.
Streaming parties: You're responsible for having the rights to anything you show. No admission may be charged, and the event can't be advertised to the public. The theater may stop any content that isn't licensed or appropriate, and no refund is due for content stopped for that reason. The theater also reserves the right to stop offering streaming parties, including for a party already booked. If it does, the theater will let you know as soon as possible and offer you either one of its current movies or cancellation with a full refund of your deposit.
We never ask for a card by text.
CineConcierge will never ask you to pay by text or over the phone. Pay only through the theater’s Stripe Checkout link in email, if a deposit applies.
Theater customers
If you are a theater using CineConcierge, you control the theater profile, hours, and showtime source. NCR processes guest data on behalf of the theater. Guest-facing messages identify the theater the guest contacted.
New Cinema Relations support staff may access your HQ to provide support, fix problems, or when you ask. Every access is logged, and you can ask for a record of access to your account.
